Important Dates!

Friday, June 17, is the last day to enroll students for summer school. Fall registration remains open.
Friday, June 24, is the last day to drop students. Students still enrolled after this date will receive a grade for the course, and their enrollments will count in your district's (or charter school's) funding formula.

Schools - Verify Access to this New Helpdesk Link

Schools and students need to verify they are not blocking this link, www.help.ncvps.org The link will be needed to submit an online helpdesk ticket for NCVPS technical issues starting July 1, 2011. (see next article for details)

TECH HELPESK CHANGES - IMPORTANT!!!

The NCVPS technology helpdesk will be changing as of July 1, 2011! NCVPS will be terminating their contract with the current helpdesk vendor and be starting up an internally operated technology helpdesk. While service hours will no longer be 24/7, we hope that we can more efficiently handle your NCVPS technology needs and be more customer focused.

Here are the details of the new helpdesk:

  • Hours of service will be 8am-4pm, Mondays - Fridays (except state holidays)
  • We will be using an online ticketing system to collect info for technology help issues. The URL for this is www.help.ncvps.org .
  • Online tickets will be addressed throughout the business day. We will handle these in the order they are opened.
  • There will be a helpdesk phone number that we release closer to the start date, however we strongly encourage online ticket submissions for quicker service.
  • Voice messages left on the helpdesk phone line will be addressed in 1 business day.
  • A valid email will be required for ticket submission - so make sure you are ready to check your inbox! :)
  • Password resets, access problems, etc will be handled and a notification of a solution will be emailed to you.
  • Return phone calls will not happen unless there is a time sensitive need for further information to solve the user's problem.
  • Note that this helpdesk will only be for technology issues. All Curriculum, Policy, and School Support issues will not be able to be resolved by the technology staff. Please make sure you continue to contact the appropriate NCVPS staff for help with non-technology questions.
  • Make sure you notify your local technology department so they can verify that the new URL is unblocked. Again, that www.help.ncvps.org

1) DLCs - Complete the "Summer Contacts Survey" http://goo.gl/PkN0S providing summer contacts for your district. (Separate article also included following this reminders section.)

2) You may drop students through Friday, June 24th. This is the 10th day of the course. Students with "enrolled" status after June 24th will receive a grade for the course, and their enrollment will be included in your district's or school's funding formula. Please remember that DLAs or DLCs must drop students (before June 24) to avoid inactive students from remaining on the rosters. NCVPS staff and teachers cannot drop students for you except on the administrative drop date, which is on Day 7 (June 21).

IEP Guidelines Update for NCVPS Courses

NOTE: The most recent upgrade to the NCVPS Registration System includes a required data field for school's "IEP Contact" when a student is flagged as having an IEP on file. It is imperative for this contact to be provided based on the guideline directions.

LOCK Sessions

LOCK = Linked Online Connecting Knowledge. LOCKs are hosted in the DLA Spa, Wimba Classroom. Instructions for how to access the classroom are provided in a QRG which can be viewed in the DLA Spa - "DLA e-Lerts" tab. LOCK webinars are professional development opportunities, specifically planned for DLCs and DLAs to keep abreast of the NCVPS operations.

Summer LOCKS will not necessarily be hosted on the typical routine 1st and 3rd Tuesdays, but will be announced when scheduled.

EOC and CTE Testing for Summer

IMPORTANT NOTE: Please make arrangements for ALL students enrolled in summer EOC and CTE courses to have the final exam administered to them. NCVPS DOES NOT administer any EOC or CTE state final exams. If you have questions, please contact the EOC and CTE coordinators at your school.


SAS Computer Programming Course


NCVPS and SAS Institute are partnering to offer high school students a course in SAS Computer Programming. The prerequisites for the course are Algebra I and at least 1 programming course such as Visual Basic, C++, Java or Python.

The course is not available in the registration system. You must contact Karen Creech at karen.creech@ncpublicschools.gov if you are interested in enrolling students in the course.

Day 3 No-Show Report

You can find the Day-3 No-Show report in the registration system. Please note that the document will show ALL of your enrollments. Scroll to the right of the spreadsheet to see who has been identified as a no-show as of Day 3. This is just an early warning, and we know that many districts with facilitated labs were just beginning. Nevertheless, we want districts to be aware of each student's status.

We will administratively drop students who have not logged in by Day 7, June 21. You will find the Day 7 Admin Drop Report in the registration system on June 21. You must email instructors directly to keep a student who has been identified as a drop in the course. That must be done by June 22.

1) DLCs - Complete the "Summer Contacts Survey" http://goo.gl/PkN0S providing summer contacts for your district. (Separate article also included following this reminders section.)

2) "No Show" reports were posted under the "Reports" tab in each school's NCVPS Registration System Account, on Monday, June 13. The "No Show" column is towards the far right of the spreadsheet. The responses are Y or N. If student records are flagged "Yes", this indicates the student has either not signed on into the course, or has signed on but not submitted any assignments. This is a warning to DLAs to communicate with students not yet actively engaged in their course. Some schools have communicated later school openings with their teachers, but those that have not should do so to inform the teachers of their later start schedule. If students do not submit assignments before the Admin Drop scheduled date (Day 7 - Tuesday, June 21), nor has special request been communicated to not drop the student, the student will be dropped with the Admin Drop process.

3) Students enrolled on Thursday and Friday, June 16 & 17, and any approved late enrollments thereafter, should anticipate up to 24 hours before they will get access to their course(s). In other words, their passwords may not work for at least 24 hours after enrollment. Waitlisted students will not receive access until they move off the waitlist.

4) DLAs must give students their usernames and passwords. This is the same as in the past. NCVPS does not issue the usernames and passwords. Follow this link to see how to access usernames and passwords. https://docs.google.com/View? id=dfwwcvfq_1771f4f883gj

If students are already gone from school, you should have their email addresses in the registration system, and you can email them their username and password and the student checklist.

5) You may continue to enroll through the late add period, which ends on Friday, June 17. Students on the waitlist will also be moved to enrolled status if section space is available through Friday the 17th.

6) You may drop students through Friday, June 24th. This is the 10th day of the course. Students with "enrolled" status after June 24th will receive a grade for the course, and their enrollment will be included in your district's or school's funding formula. Please remember that DLAs or DLCs must drop students (before June 24) to avoid inactive students from remaining on the rosters. NCVPS staff and teachers cannot drop students for you except on the administrative drop date, which is on Day 7 (June 21).

7) NCVPS will administratively drop any students who have not accessed their courses by Day 7, Tuesday, June 21. The admin drop list will be posted in the registration system on Wednesday, June 22. Please check that admin drop report. If you would like to request a student be reinstated, you must contact the teacher directly before Friday, June 24.

8) To see which of your students are enrolled or waitlisted, please run an enrollment report. Here's how to run an enrollment report: https://docs.google.com/View? id=dfwwcvfq_1703gfd7fdc2

The enrollment report will also show who the teachers are for your students, along with the teacher's VTINs and SAR data.

9) What to do if a student's password does not work:

a) Confirm that they are enrolled and not waitilsted. b) If they are recently enrolled, remember that passwords will not work for 24 hours. c) If they are confirmed enrolled and it's been at least 24 hours since enrollment, then contact the Blackboard help desk at 1-866-223-1028. d) Lastly, if students took a course in the past and they changed their passwords, they have to use the password that they changed it to, or they can call the help number for a reset.

Emergency Enrollments for Summer

After Day 5 (Friday, June 17), ONLY graduating seniors and medical/hardship related student cases will be considered for late add through Day 10 (Friday, June 24). Late add requests should be emailed to your assigned VLC, and must include the student’s name, district, school, course and brief reason for request. All other requests will need to be enrolled in the fall semester.

Please note that summer semester students can move off the waitlist through Day 5 (Friday, June 17). The NCVPS registration system does not have an automatic notification for students who move off the waitlist. If you have waitlisted students, you will need to periodically check your enrollment report to see if they are enrolled. Please remember that the enrollment report ("Status" column) shows BOTH enrolled and waitlisted students.

Waitlists - Enrollment Capacity Concerns

Summer
As of June 17, summer, German courses are closed, (and those limits are placed by Oklahoma State University). Algebra I and Geometry are approaching limitations on availability.

Fall
OCS Blended Learning Applied Science, OCS Blended Learning Biology, and OCS Blended English I, both block and yearlong, will not have any additional enrollments moved off the wailitsts at this time. Please continue to enroll students as needed and the waitlists will be evaluated weekly as drops happen. If availability is present, students will be moved off waitlists.

FINAL Grade Report - 2010-11 Year Long & Spring, 2011

Final grade report corrections for 2010-11 Year Long, Spring 2011, and corrections to Early Calendar scheduled courses, were posted on Monday, June 13. Final grade reports are submitted to each school's NCVPS Registration System account, "Reports" tab. The final report is dated June 13.

PLEASE NOTE: The registration system was running very slow during the period that teachers were posting grades. Several teachers had difficulty posting grades. If student grades are missing or DLAs note a grade discrepancy, please communicate with the teacher ASAP.


WANTED: DLA and DLC Retirees, (or those with plans to retiree over the summer)

NCVPS School Support Services would like to coordinate a panel of interviews with DLAs and DLCs who have plans to retire this summer, or did so prior to the summer. Please notify your regional VLC (Adam, Connie, James, Melissa), if you have plans to retire, or if a former DLA or DLC this school year retired during the 2010-11 school year.

NON-PUBLIC SCHOOL STUDENT ENROLLMENTS

Districts have an option to enroll non-public school students into North Carolina Virtual Public School (NCVPS) courses through the visiting student policy. In addition, NCVPS has a process for enrolling non-public school students into the registration system. There is a check box that should be checked when a non-public school student is enrolled to identify those who need to submit payment for their classes. NCVPS pulls a list of these students to determine those districts/students who need to pay and submits to the Department of Public Instruction. It is the districts responsibility to collect and submit these fees to DPI per the process outlined below.

School finance officers, District Learning Coordinator's (DLC’s) and District Learning Advisor's (DLA’s) should be using the following information below to invoice non-public school students who have enrolled in NCVPS courses. The fees must be submitted to DPI within 10 days of the student receiving a seat in the course. Please visit this link to get to the actual forms you may use to collect this money. http://www.ncvps.org/index.php/parents/homeprivate-school/.

The recommendation from the SBE for fees is outlined in the documents below. In addition, we have supplied school districts with sample invoices.
Each of these documents will need to be listed below this text for districts to download. Please put them in this order . .

Learn and Earn Online Drops [E-lert for April 21]


This is the last week students may withdraw from a Learn and Earn Online course. Students remaining in a LEO course after the drop date will earn a grade in the course.

Check with iSchool or your Community College for the course drop date.

Summer EOCs [E-lert for April 21]

Please note that all EOC courses will be test this summer. Districts will have to arrange for that testing during the testing window. Please be sure to contact your testing coordinator.

Closings and Delays [E-lert for April 21]

As you know NC was devastated with severe weather over the weekend. The NCVPS staff send thoughts and prayers to all of those who were affected by these powerful storms. As we survey damage, the School Support Division would like to know if there are any closures, outages, delays, or other circumstances that may affect students/teachers of NCVPS online classes. Please let me know so that we can respond and make sure that instruction isn't affected and more importantly that students who need additional assistance can be handled. Please let me know school names, student names, etc. as soon as possible.
