Update Your DLA Contact Information [E-lert for Feb. 25]

To update your contact information in the registration system, log in and click the My Info button. For more details, click here!


Grade Reports Posted [E-lert for Feb. 25]

Progress reports were posted in the registration system on February 23 for regular calendar, yearlong, and credit recovery courses.

You will find the grade reports by clicking the Reports button. Check the box next to the Feb. 23 report and click “Run.” This will open an Excel spreadsheet. You will see your roster of enrolled students. Scroll to the far right of the spreadsheet to view these 4 fields:

1. Progress Grade - For regular calendar and yearlong instructors to report numeric progress grade.

2. Number of modules completed - Only for Credit Recovery Instructors to report progress of student in the course content.

3. Status - Only for Credit Recovery Instructors to report the status of their students. The choices are as follows:

* On Pace
* NOT Working
* Working
* Never Logged in
* Course Mastered
* Non-Mastered

4. Comment - For all instructors to leave comments and feedback on students.

Pulling NCVPS Enrollment Rosters

The “Enrollments” tab in the NCVPS Registration System is where student roster information resides. By clicking on the enrollments tab, then clicking on the “Export to Excel” option (at top of data displayed), depending on the choice from the drop down, will determine your data report outcome.

-Choosing “spring 2010” will report all spring semester (block) enrollments only.

-Choosing “rolling” will report any Credit Recovery enrollments only.

To get the Year Long enrollments, and an all inclusive list of enrollments, (YL, block & CR) use the “Reports” tab – and refer to the data on the latest grade or progress report.

Learn and Earn Online Survey [E-lert for Feb. 25]

We are eager to learn how LEO is being used in your school. Soon a very short survey will be emailed to you. With more information about what you are doing in your school we hope to better assist all DLAs.

Let's celebrate those students who will graduate from High School this June with an Associate degree through LEO. If you have such a student in your school please let me know. We would like to get a special commendation for those students. Please contact me:

Credit Recovery Updates [E-lert for Feb. 25]

1. Mastery Charts and Status Reports
The first mastery charts were messaged to the students within Blackboard and emailed to parents and DLAs by 5pm on Monday, February 8th. The Status Report was made available in the registration system on Tuesday, February 9th. Mastery Charts and Status Reports will be provided bi-weekly during the spring semester. 2. Teacher Contact
The Credit Recovery teachers are required to make weekly contact with their students. Many teachers connect with their students on Pronto. However, if the student does not have access to a computer at home, the teachers may contact by phone. If the teacher does not have correct contact information or cannot reach the student and/or parent, it becomes difficult. You may receive a request for help from teachers with this piece of the program. If you are able to provide additional contact information or advice on how/when to contact the parents, it would be very helpful!

3. Training
We have created several training pieces for those of you that are new to our program. The training folder is located in Blackboard in the DLA Spa under the "Credit Recovery" Tab. Reviewing the information in the training folder will help you understand the foundation and procedures for our program.

Late Adds & Drops [E-lert for Feb. 17]

The VLCs would like to thank DLAs for their patience and understanding in communicating late adds and late drops. We realize the inclement weather brought about intense challenges. At this point, we hope your requests have been fulfilled. Any discrepancies noted, contact your VLC. However, any drops past Monday, February 15, must be medical or transfer related circumstances only.

Be reminded, NCVPS grades are reported to the schools, and only the schools record the grades on the student's transcript. If a student remains on your roster in error, send an email to the assigned teacher, communicating the error in that the student should not have been enrolled, and the teacher will make a journal entry in the comments section of the grade report acknowledging this request from the school. A grade of 59 will have to be reported in the end, but the school does not have to report the grade on the student's records if it was a legitimate enrollment error that was not the student's fault. Your principal must be involved in this process, as he or she is the final grade authority.

Eye on the Student [E-lert for Feb. 17]

Do your NCVPS students know that you are watching over them?

Are the students aware of a checklist of expectations from their DLA? Are you holding them accountable to the list?

If the school principal were to ask you (the DLA) how a particular student was doing in his or her on-line course, would you know; would you have assessment measures to report on?

Do you require of your NCVPS students, ESPECIALLY the late enrolled students, to submit to you their "My Grades" report, as often as you would like to manage? This report can be printed or shared by the student and made available to the DLAs, bi-weekly, weekly, bi-monthly. You can determine how often the report to you, as their DLA. The report shows a daily journal of activity, assignments submitted, and grades reported. By the DLA having access to this report, per student, it gives the student some indication you are monitoring their progress.

Look for NCVPS progress reports every two weeks in the registration system from this point forward. This will help you better assess how students are progressing.

DLA & facilitator support to NCVPS students is most critical to the student's success; ESPECIALLY to students who were late enrolled. Please reach out to your VLC if you need further guidance on how to manage the support for your NCVPS & LEO students.

As the virtual population in your school grows, see that "e-learning" becomes a standing agenda item with your school improvement team. There are many stakeholders and area experts in your school who should be involved with your virtual enrollment, including your data manager, testing coordinator, graduation coach, technology facilitator, EC specialist, and especially your school leadership. These are all best practices shared by school-level and central office DLAs from across the state.

Virtual Teacher Information Numbers (VTINs) Now Available [E-lert for Feb. 17]

The NC WISE Virtual Teacher ID Numbers (VTIN) for Spring 10 are now available.

Please find this spreadsheet in this DLA spa under NCWISE TEACHER INFO tab and it will need to be downloaded and provided to the DATA MANAGERS for their entry. It will be the DLA's responsibility to pull the enrollment export for their school. The export will list the teacher's name for each enrollment. The VTIN info will be listed by each teacher's name in the spreadsheet we are distributing.

Early Calendar Progress/Grade Report [E-lert for Feb. 17]

Due to the varied school schedule adjustments across the state related to the recent inclement weather, the next "Early Calendar" progress/grade report will be posted on February 23.

LEO Weather Concerns [E-lert for Feb. 17]

Due to unusual winter weather, many schools have missed days and experienced delays.

Remind your students that they are still responsible for following iSchool and Community College course instructions, calendars, and deadlines. They should check online announcements daily for changes or updates.

We expect Learn & Earn Online students to accept a higher level of personal responsibility and rise to the academic challenge they chose when they enrolled in online college courses.

NCVPS Course Codes [E-lert for Feb. 17]

Please send your enrollment roster to your data managers. Data managers should use the NCVPS course codes, which are located in the DLA Spa and in our course catalogue.

Please direct data managers to the course codes or add the course codes to the enrollment roster for them.

Mary Cone Barrie Scholarship [E-lert for Feb. 17]

We are pleased to announce this year’s Mary Cone Barrie Scholarship award offered by Destiny Solutions.

The Mary Cone Barrie Scholarship is an annual scholarship worth $2,500 each granted by Destiny Solutions to help two qualified students achieve their continuing education goals. Established in 2008, the Mary Cone Barrie Scholarship is given each year to honor Mary Cone
Barrie, former Director of Continuing Studies at the University of Toronto, and her contributions and dedication to continuing education.

Applications for this year’s scholarship are due by July 30, 2010 with winners to be announced in September via a press release posted on Destiny Solutions’ website.

Late Adds [E-lert for Feb. 10]

Many late adds continue to be administered through this week and most are for seniors needing credit, or the transaction being made due to the inclement weather hold backs at the school.

The VLCs have heavily emphasized the imperativeness for DLAs to build a strong rapport with the teachers in these cases (and all others), and have suggested the DLAs request a daily progress report from the students over the next 2-3 weeks to oversee the students getting caught up in their course work.

We cannot elaborate enough on the importance of this coaching need from DLAs. Otherwise, these students are going to be stressed even more as the course material becomes more rigorous as the semester progresses. Thanks for partnering with the teachers and the VLCs to communicate student cases that are not showing adequate progress. Thanks for your support!

Check Your Rosters for Accuracy [E-lert for Feb. 10]

Admin Drops and late drop requests are being administered throughout this week to accommodate the inclement weather down time.

DLAs should go to the registration system and click on "Enrollments" - then chose "Export to Excel" (from the option above the column heading), to pull an updated roster of enrollments.

Verify your enrollments are correct. Any inactive students identified (that should not be enrolled), please advise your VLC immediately via email, providing the student name, course, school and county.

First, make sure that the student's information is in the registration system. You will need to input all information, just like a regular registration, except you can't enroll the student into a class. Once you have all the student's information into the registration system, please send the following to Michelle Lourcey (mlourcey@dpi.state.nc.us):

An Excel spreadsheet for the students with the following columns:
Student's last name
Student's first name
Student's school
Student's LEA
The Credit Recovery course to be enrolled in.

If Michelle receives this spreadsheet by early afternoon, the student will be enrolled by the next morning. Please contact Michelle Lourcey with any questions!

4. Credit Recovery Survey
The NCVPS Credit Recovery staff works closely with the schools providing bi-weekly updates on Credit Recovery students to help keep you informed of their progress. To better serve you, we need some information on the Credit Recovery implementation at your school. Many of you have already completed the survey linked below. If you have not, please do so as soon as possible. It is also important to make sure the DLA contact information is updated in the registration system as this information is also provided to our teachers.

Enrollment Options [E-lert for Feb. 3]

LATE ADDS
Enrollment has closed for traditional courses. Hardship requests will be looked at on a case-by-case basis. Hardship requests must come from the principal. The principal can email the request to the DLA, who can then email the regional VLC.

CREDIT RECOVERY
You may continue to enroll students into credit recovery through February 19th. Send those inquiries directly to Michelle Lourcey at mlourcey@dpi.state.nc.us

TRANSFER STUDENTS
NCVPS will accept transfer students until the last marking period of the course. The student must be enrolled in the course face-to-face and have a passing transfer grade. NCVPS must have availability in the course, as well. This can help with new students who arrive to your school (if they have a passing transfer grade), students who become home bound, students who are suspended, and various other reasons. Email your VLC for the transfer form. Transfer students will need an account in the system before the transfer process can start.

World Languages Culture Cafe Returns This Semester [E-lert for Feb. 3]

Again this semester the NCVPS World Languages Department will be hostsing Culture Cafe Sessions. The Culture Cafe is a social and educational setting that brings together current, former and future NCVPS world language students in an online environment in order to immerse them in the culture of online world languages. Former students can stay connected to the language they have learned, current students will get to practice the language and future students can gain a sneak peak at our robust world language courses.

The majority of our teachers work in the f2f classroom during the school day so they will not be available to students one-on-one until the evening times. Every Credit Recovery teacher will be available to work with students at least once a week via Pronto, our secured instant
messaging system, for those students who have computer access at home. For those students with no computer access at home, teachers will call students at least once a week to work one-on-one

3. Registration

Flash Message: New Admin Drop Date [E-lert for Feb. 3]

Originally, NCVPS had planned to have an ADMIN DROP report generated on Tuesday, Feb. 2nd, the 7th day of instruction in order to have all identified by Friday, Feb. 5th, the 10th day of instruction in order to comply with State Board of Education policy.

However, because of the widespread inclement weather that has impacted a majority of the state, we realize that many students have not been able to access our courses in order to determine if they need to drop the course. In an effort to support schools and students and still comply with State Board of Education policy, NCVPS is postponing the ADMIN DROP report and DROP processing from the originally announced schedule.

As a result, the following timeline will be enacted.

Friday, Feb. 5th,11:59pm – Admin Drop reports will be due from NCVPS teachers.

Saturday, Feb 6th,12:01 am – The Admin Drop list can be accessed by DLAs in the registration system.

Saturday and Sunday, Feb 6th – 7th - an email will be sent to DLAs with the list of students slated to be dropped.

Monday, Feb 8th , prior to 5pm - DLAs and/or teachers notify Chanin Rivenbark at crivenbark@dpi.state.nc.us if a student on the drop list should stay in the class. (please include the student’s name and the course)

Monday, Feb 8th, 5pm – Drops will be processed and students will begin losing access.

After Monday, Feb 8th – If you have a student that has been mistakenly dropped, the VLC will need to be contacted. If you do not know who your VLC is, please go to the link at http://www.ncvps.org/lea/studentsupport/ .

We appreciate your cooperation with this timeline. Please note that all deadlines are firm, as NCVPS is responsible for identifying all drops within 10 days of instruction by the State Board of Education (School Attendance and Student Accounting Manual, School Closings Due to Inclement Weather and Other Emergencies, page 38) and for processing those drops within the payroll deadlines set by financial services at the Department of Public Instruction.
