NCVPS Teacher Information (VTIN) for eSIS input [e-lert for Oct. 15]

Most have already provided NCVPS Teacher information to school Data Managers (DMs) for their input into eSIS. If you have not provided this information to DMs already, please expedite. The updated "VTIN" file is available for your review and is posted in the DLA Spa, last tab, "NC WISE Teacher Info". There are two documents that contain teacher information:


1) "VTIN - Summer-Fall, 2010" - This document contains teacher information on all teachers contracted with NCVPS (which includes all courses except Macro/Micro Econ, & German).
2) "External Teachers - 2009-2010" - This document contains teacher information for the only two NCVPS external affiliations, Florida Virtual (Macro/Micro Econ), and Oklahoma State University (German).

REF item #1 above - The VTINs (bogus SSNs) are eventually converted to actual SSNs (per requirement for SAR). The conversion is done via a file coordinated between NCVPS and NC WISE at NCDPI.

REF item #2 - Once the VTIN (bogus SSN) and "experience code" listed is recorded in eSIS, it's coding automatically flags the system these are external providers, and therefore, no actual SSN is required.

Financial Business Services at NCDPI uses the data submitted during fall semester for the SAR (Student Activity Report). Teacher information keyed into eSIS for the spring semester is necessary for updated PMRs (Principal's Monthly Reports) throughout the duration of the school year.

NC WISE Roster Import Update [E-lert for Aug. 6]

A second NC WISE roster import took place on August 2, and any updates were to be posted to the individual school accounts. Another update will occur on August 24. If you are missing students, send the following information to your assigned Virtual Learning Consultant (VLC):

Student name

NC WISE ID#


Once the missing student transaction of information is added, the inquiring DLA will be notified so the enrollment can be made at the school.

DLA Relationship with School Data Coordinator [E-lert for August 6]

DLAs need to become acquainted with the school Data Manager (DM). Tasks that relate to NCVPS are starting to involve DMs more often. The NC WISE Training Team will be hosting a virtual training session in which NCVPS will be a part of, on Thursday, August 12. Check with your Data Manager to confirm the date and time, and try to attend the training. It will cover a thorough review of the NC WISE and NCVPS processes. NCVPS and NC WISE will be posting a Quick Reference Guide soon, in which will detail the collaborative processes between NCVPS and NC WISE.

Roster Updated from YET [E-lert for July 22]

Your 2010-2011 School Year Rosters - Now Imported in Your NCVPS Registration System Account

For the first time, the new school year's student rosters have been imported from the YET process. The records are now available in your NCVPS Registration System Account. NOTE: All students at your school are listed in the NCVPS Registration System. DLAs are advised to review your accounts to verify you have your school's registered students. If you find any discrepancies, please report to your assigned VLC (Adam Renfro, Connie Joyner, J Bell, or Melissa Davis).

Additionally, it is strongly advised for DLAs to run the "Export to Excel" report of school enrollments and check your enrolled student's records to verify your enrollment data hasn't been affected by your new school roster import. (NOTE: The article in this e-Lert on "Running Reports - Grade Reports and Enrollment Reports" provides a demo on how to run your enrollment report.)

NC WISE Data Imports to NCVPS Registration System [E-lert for July 2]

The NCVPS student demographic information as it appears in the NCVPS Registration System is imported from NC WISE eSIS records. The NCVPS school rosters will be updated with student's 2010-2011 school year assignments after the NC WISE "YET" (Year End Transition) process, in which generally occurs the week of July 4th. NCVPS records are projected to be updated on July 22. Rising 9th graders will be assigned their high school, and graduated seniors will no longer be in view on school rosters. New schools will also be populated.

The data that is imported from NC WISE depends on what gets populated in NC WISE eSIS before the shutdown for YET, (which will be 5:00 on Wednesday, June 30, 2010). A second import is anticipated closer to the fall semester or shortly afterwards. Parent email and phone number are available fields in eSIS; so coordinating with the school data manager to get these fields of data input would be beneficial for DLAs.

Virtual Teacher Information Numbers for Your SAR Report [E-lert for Jan. 28, 2010]

You may use the Fall 09 VTIN list for your NCWISE SAR report. We have about 15 new teachers who will be added to the list, but that will not happen until the registration period is over. The other 350+ teachers are on the fall list.

The VTIN list can be found under the NCWISE Teacher Information tab in the DLA Spa.
